    Customer Acquisition Cost (CAC)

What is cost per booked meeting?

Cost per booked meeting is the total cost of a channel divided by the meetings that channel books. Outbound counts tools, data, and rep time. Inbound counts programs, content, ads, and response time.

    Formula

Outbound: (outreach tool + contact data + rep hours) ÷ meetings booked from outbound. Inbound: (programs + content + ads + response time) ÷ meetings booked from inbound. Blended: total of both ÷ total meetings.

Example: Illustrative numbers only. Outbound: $1,000 tools + $500 data + $3,500 rep time = $5,000 for 20 meetings, or $250 each. Inbound: $4,000 programs and ads + $1,000 response time = $5,000 for 40 meetings, or $125 each. Blended: $10,000 ÷ 60 = about $167, which hides that outbound costs twice as much per meeting.

Track outbound by sequence and inbound by source. A blended number can hide a strong channel carrying a weak one. It is the first leg of customer acquisition cost, and it moves when the message or the page improves, not only when volume changes.

Count only meetings that actually happen. A booked meeting that no-shows still cost the same to get, so dividing by held meetings gives the truer number. Keep the booked count too, because a wide gap between booked and held points to a qualification or reminder problem, not a channel problem.

The number means little on its own. Compare it with what a closed deal is worth and how many held meetings it takes to close one. A channel with a higher cost per meeting can still be the better channel if its meetings close more often.

    What to do about it

    • Tag every meeting with its source: the outbound sequence or the inbound program that booked it.
    • Include rep hours at a loaded hourly cost, not just software and ad spend.
    • Review the number monthly by channel, not only as one blended figure.
    • Set a ceiling for each channel based on deal value and close rate from held meetings.

    Frequently asked questions

What is a good cost per booked meeting?

There is no universal number. A good cost is one your deal size can carry: work back from average deal value and how many held meetings it takes to close a deal, then set the ceiling below that.

Should no-shows count toward cost per booked meeting?

Track both. Divide by booked meetings to see what the channel produces, and by held meetings to see what it truly costs. A big gap between the two is its own problem to fix.

How is cost per booked meeting different from cost per lead?

Cost per lead counts anyone who raised a hand or entered a list. Cost per booked meeting only counts buyers who agreed to talk, so it sits closer to revenue and is harder to inflate with low-quality volume.
